Short term contract: Name Badge Assistant

POSITION OVERVIEW

This is a short-term, temporary contract role for onsite support at the TEDMonterey conference in Monterey, California. You may be asked to work some or all of the dates between July 26-August 4, 2021. 

As a Name Badge Assistant, you’ll divide your time between creating name badges and greeting attendees. You’ll support the Name Badge Coordinator by creating and printing attendee name badges, using InDesign templates and tools and resources provided by TED to ensure each name badge meets TED’s quality standards. During the conference, you’ll act as the first point of contact welcoming each attendee to the conference and providing a warm and authentic check-in experience. You’ll answer attendee questions related to programming and activities, and be responsible for escalation of any issues to the designated TED contact. 

You’re a brand ambassador and a people person with prior customer service experience and excellent interpersonal communication skills. You’re comfortable assisting high-profile guests with discretion and tact, actively listening to requests and taking the temperature of a situation before reacting. You’re self-motivated and comfortable working with minimal oversight. You have an eye for detail and work well under time pressure.

This position involves standing for long periods and participating in some physical work and lifting up to 30lbs. 

RESPONSIBILITIES

  • Edit InDesign templates to create name badges
  • Assembling name badges along with collateral and lanyards
  • Manage and handle confidential materials and information 
  • Assemble name badges along with collateral and lanyards
  • Collate name badges alphabetically for quick retrieval
  • Check-in attendees as they arrive at the conference and distributing collateral and name badges 
  • Answer attendee questions and direct them to the right person or team
  • Perform daily opening and closing duties, including setting out badges in the morning and locking them up at the end of the day

QUALIFICATIONS / SKILLS

  • Prior customer service experience required 
  • Basic knowledge and proficiency with Adobe InDesign is required 
  • Proficiency with Adobe Photoshop is a plus
  • Basic IT troubleshooting including printers and other specialized equipment
  • Able to meet tight deadlines in a short turnaround time
  • Detail-oriented with strong organizational skills
  • Self-motivated, able to work well independently
  • Effective, resourceful problem solver
  • Fluent in English
