TED TV is a small but mighty team looking for a Coordinator to manage our office needs. This individual must be highly efficient, rigorous, work well under pressure and be capable of multi-tasking. We are looking for a self-starter who is always thinking ten steps ahead.
A major component of this job is handling the complicated scheduling of meetings, often across multiple time zones working with global companies in the UK, India, China, and Africa - all whilst supporting the administrative needs of the Head of TV and our TV Researcher/Associate Producer.
The job requires accurate writing skills, the ability to do light research, take detailed notes during meetings, and maintain the TV department weekly tracking document, keeping it up to date.
The person in this role will also be responsible for filing monthly expense reports, handling daily schedules, organizing inter-departmental meetings, booking conference rooms for meetings and welcoming external guests, offering them refreshments and catering to any of their meeting requirements.
You will often be the point person representing TED TV for questions and requests from internal and external business partners, with the expectation that these will be handled quickly and efficiently, so the ideal candidate will have an excellent telephone manner, and the ability to prioritize tasks. A good attitude and a sense of humor will make you shine in this role.
You will be responsible for all coordination and logistics, to include booking travel, setting external meetings and creating meeting and travel schedules for the head of TV. The ideal candidate will have a high comfort level dealing with VIP’s in a respectful and confidential manner.
