Guest Services Representative - short term contract

This is a short-term, temporary contract role for in-person, onsite support at the TEDWomen conference in Palm Springs, California. You may be asked to work some or all of the dates between November 28 and December 4, 2021. You will be responsible for any travel, accommodation and meal costs.

POSITION OVERVIEW

As a Guest Services representative you’ll be the first point of contact welcoming each attendee and providing a warm and authentic check-in experience using tools and resources provided by TED. You’ll assemble and organize attendee name badges and lanyards, making sure each one meets TED’s quality standards. During the conference you’ll be a source of knowledge for everything related to conference programming and activities, from sharing local city expertise to fielding requests, complaints, and tracking and reporting all interactions.You’ll also manage escalation of any issues to the designated TED contact. 

 

You’re a brand ambassador and a people person with prior customer service experience and excellent interpersonal communication skills. You’re comfortable assisting high-profile guests with discretion and tact, actively listening to requests and taking the temperature of a situation before reacting. You’re self-motivated and comfortable working with minimal oversight. 

 

This position involves standing for long periods and participating in some physical work and lifting up to 30lbs.  


 

RESPONSIBILITIES

  • Pre-conference: Assembling name badges along with collateral and lanyards
  • Manage and handle confidential materials and information 
  • Collate name badges alphabetically for quick retrieval
  • Check-in attendees as they arrive at the conference and distributing collateral and name badges 
  • Record attendee inquiries; close the loop on suggestions, requests and complaints; identify potential issues and take a proactive approach to troubleshooting using tools and resources provided by TED
  • Daily opening and closing duties, including setting out badges in the morning and locking them up at the end of the day

 

QUALIFICATIONS / SKILLS

  • Previous customer service experience is required
  • Strong interpersonal skills
  • Professional, understands the needs of attendees, calm and kind
  • Detail-oriented with strong organizational skills 
  • Effective, resourceful problem-solver
  • Experience using iPads or tablets
  • Fluent in English
